How to Compress a Signature to 20 KB for Online Forms
Exam and job portals are unforgiving about signatures: a scan must fit both a pixel box and a 20 KB file-size cap, and most scans fail both at once. Here is why signature scans balloon to megabytes — and the exact three-step method, crop tight then compress to a target size, that fits any clean scan under 20 KB. Free, and entirely in your browser.
The two limits your signature must pass
Every portal upload checks two things: the pixel dimensions (a signature box is commonly around 140×60 px) and the file size (commonly capped at 20 KB — SSC, IBPS and FPSC-style notices commonly list 20 KB; always confirm against your own portal's current notice). Pass one and fail the other, and the upload is rejected. Most guides only talk about one of them. You need both.
Why signatures are the hardest upload to shrink
A signature scan is the worst kind of image: a few thin strokes of ink on a huge field of blank paper. The scanner captures all of that white at full resolution, so a signature that uses a fraction of the page arrives as a 2 MB file. Save it as PNG — lossless — and it stays heavy, because PNG faithfully preserves every speck of paper grain. The way under 20 KB is to remove what the portal never wanted: the empty margins first, then the excess quality.
Step 1 — capture it cleanly
Sign with a dark pen on plain white paper, in good light, and keep the signature reasonably large. Scan at a modest resolution — 150 to 200 DPI is plenty — or photograph it straight from above with your phone. Avoid shadows, ruled lines and coloured paper: they are noise you will pay for in kilobytes.
Step 2 — crop right up to the ink
Open our crop image tool and drag the box tight around the signature itself — no white borders at all. This one step commonly removes most of the file's weight, because white margins are pure data the portal never asked for. Do this before anything else; every kilobyte saved here is quality you keep later.
Step 3 — compress to exactly 20 KB
Open our compress image tool, switch the mode to Target size (KB) and type 20. Choose JPEG output — not PNG — and the tool lowers the quality only as far as needed until the file fits under 20 KB. JPEG cannot do transparency, so the tool flattens the image onto white, which is exactly what form portals expect from a signature anyway. If your portal also specifies a pixel box, set it first with our resize image tool and then run the 20 KB compression.
Check legibility at 100% before you submit
Open the result and view it at 100%. The strokes must still be clearly readable — if they have broken up, do not push the quality lower; go back and crop tighter or re-scan more cleanly, then try again. Then check both limits in your file manager and image viewer: the right pixels and a file size at or under the cap. If both pass, upload it.
